Xero customer reports

By Spearmint · Updated 8 September 2026

Part of how to increase sales from existing customers.

Xero’s customer and sales reports answer “how much did this contact buy?” They are weaker at “who is slowing down?”, “who has unfinished work?”, and “give me a list I can chase this week.”

Reports owners usually try first

  • Sales by contact — totals over a period; good for ranking who spent most, weak for cadence.
  • Customer transaction / activity views — useful drill- down one account at a time.
  • Aged receivables — cash collection, not opportunity finding.
  • Quotes list — status and dates; matching to invoices is still mostly manual.

What those reports still miss

  • Frequency change versus each customer’s own history
  • Quotes that look converted but are only partly invoiced
  • Exportable cohorts with evidence links for every row
  • Separating high-confidence patterns from thin ones

A simple weekly reading habit

  1. Scan sales by contact for the last 12 months—note top accounts.
  2. Open last year’s same month—who is missing?
  3. Review open quotes older than your normal decision window.
  4. Write down five names to contact; ignore the rest until next week.

That habit works until volume grows. Then matching and ranking need automation that stays tied to source documents.

How Spearmint helps

Spearmint builds a Revenue Map and Business DNA from Xero contacts, invoices, lines and quotes, then lets Mint ask questions such as who normally buys around this time or who is buying less frequently. Results stay evidence-backed and exportable.

Spearmint is not a replacement for Xero’s native reports or a CRM. It is commercial memory on top of the books you already run.
